Right Track Chiropractic
Please read these terms carefully. By booking or attending an appointment, you agree to the following.
Appointments & Bookings
Booking Confirmation
Appointments can be made online, by phone, or in person. You will receive confirmation once your booking is secured.
Late Arrivals
If you arrive late, your session may be shortened out of respect for the next patient. Full fees still apply.
Pre-Appointment Surveys
For certain appointments, you may be asked to complete a short survey beforehand.
If this has not been completed before your appointment, it will need to be completed during your session. This may reduce — or in some cases remove — the time available for examination or treatment.
Full fees will still apply.
Cancellation & No-Show Policy
We require a minimum of 24 hours’ notice to cancel or reschedule.
Late Cancellation / No-Show Fee
Appointments cancelled within 24 hours, or missed without notice, may be charged in full.
Stored Payment Authorisation
By providing your card details, you consent to their secure storage and authorise us to charge for late cancellations or missed appointments.
If you choose not to store your card details, appointments must be paid for in advance.
Payment & Fees
Accepted Payment Methods
We accept cash, major credit/debit cards, and contactless payments.
Payment Timing
All treatments must be paid for either in advance or on the day of your appointment.
Patients will not leave the clinic with outstanding balances.
Upfront Payments
If no card details are stored, payment is required at the time of booking.
Prepaid Packages
Valid for 12 months from purchase
Non-refundable after expiry
May be shared with one other named patient at Right Track Chiropractic
Not transferable beyond this and cannot be exchanged for cash
Memberships
Require a 12-month commitment, unless otherwise agreed
Cancellation is at the discretion of the clinic owner
Non-transferable
Cannot be paused or extended unless agreed in advance
Terms may be updated as needed
Refunds
Fees for completed treatments are non-refundable.
Refunds for unused sessions or packages are considered case by case.
Referral Scheme – £20 Off
We love it when you send people our way — thank you.
How it works:
You receive £20 off your next pay-as-you-go treatment when you refer someone
The person you refer must:
-Book
-Attend
-Pay for their first appointment
Conditions:
Applies to pay-as-you-go treatments only
Cannot be used with packages or memberships
Only one £20 discount can be used per appointment
Discounts cannot be stacked, banked, or combined
No cash alternative
Health & Medical Information
You agree to provide accurate and up-to-date health information.
This allows us to deliver safe and effective care.
All information is handled in line with UK GDPR.

Results vary from person to person.
We cannot guarantee specific outcomes, and your progress depends partly on:

What we collect:
Name, contact details, and date of birth
Medical history and health information
Appointment and treatment records
Payment details (securely stored where applicable)
Audio recordings of consultations where AI transcription is used (see below)
How we use your information:
To provide safe and effective care
To manage bookings and communication
To process payments
To create accurate clinical records (including via AI transcription tools)
To comply with legal and regulatory requirements
AI Transcription (Heidi Health):
To help us focus fully on you during your appointment, we use Heidi Health, a secure AI-powered transcription tool.
This means:
Your consultation may be audio recorded for transcription purposes only
No video is recorded
The recording is used solely to generate clinical notes
Data is processed securely and in accordance with UK GDPR
By attending your appointment, you consent to the use of AI transcription.
If you would prefer not to have your consultation recorded, please inform us before your appointment and we will take notes manually instead.
How your data is stored:
Secure digital systems with restricted access
In line with UK GDPR and data protection laws
Data sharing:
We do not sell or share your data for marketing.
We may share information only when:
Required by law
Necessary for your care (e.g. referral to another healthcare provider, with your consent)

Limitation of Liability
All practitioners follow professional standards set by the General Chiropractic Council.
Treatment is not a substitute for medical care from a GP or specialist.
Right Track Chiropractic is not liable for outcomes beyond the scope of care provided.
